How to book a resource?

Resource notifications

Users can receive email notifications when other users update or delete their bookings. To enable/disable resource notifications, proceed as follows:

  1. Login to your account.
  2. Go to the calendar view of the resource you want to be notified.
  3. On left hand side menu, click on the resource image or name. A new panel containing the resource information will appear.
  4. At the bottom of this new panel, use the checkbox to enable or disable resource notifications.


Create resource field options

You can add resource fields, which must be fulfilled by every upon booking. These can be used to add specific information about the booking such as laser used, detection channel, etc...

To create resource fields, proceed as follows:

  1. Login to your account and go to your personal area.
  2. Go to Resources management.
  3. Select a resource and press Edit.
  4. Go to the fields tab. This tab displays the resource that are already associated with this resource.
  5. Press Create new field to generate a new resource field option.
  6. Enter the field information. You can create different types of fields:
    1. Textfield entries : users are obliged to fill upon booking.
    2. List - single selection : of multiple options, users must selected only one.
    3. List - multiple selection : users can select as many options as they want (at least one must be selected).
    4. Numeric field : as textfield entries, but numeric (e.g. number of plates used).
    5. Textfield entries - allow nulls : self explanatory.
    6. Checkbox : yes/no option (e.g. training)



Booking with service users

To book an event in a specific resource with service users you need to the resource manager or have full-admin permissions for that resource.

  1. Login to your account.
  2. Go to the calendar view of the resource you want to book.
  3. If you are resource manager, the admin tab on the left hand panel should be active. Click on the admin tab to reveal administration options.
  4. Tick Use special booking box.
  5. The third option of the menu contains the service users available in your system. Tick the Schedule service box and select the user you want to book with.
  6. Select the slot in the calendar and confirm your booking.


NOTE: Calendar events owned by service users will not considered in billing reports


Creating service users

  1. Login to your personal area.
  2. Go to Users management.
  3. Click Create service user. You need to have the right user privileges in order to do so.
  4. A new window will pop-up. There you can see Service Users that already exist in the system.
  5. Press Create service user.
  6. Enter the user information and press Submit. A new user will be added to the users' list


NOTE: Calendar events owned by service users will not considered in billing reports
